To ensure a smooth and efficient transaction process, all sellers are required to meet the following documentation prerequisites before publishing an offer or responding to an Irrevocable Corporate Purchase Order (ICPO) on Petrolodex.

Required Documentation – Prior to listing or transacting, sellers must be prepared to provide the following:

  • Proof of Product (POP) – evidenced by a valid Tank Storage Receipt (TSR) for product in storage, Bill of Lading (BL) for product loaded on vessel, or Refinery Allocation Letter for product allocated from production.
  • Authorization to Sell (ATS) – issued by the title holder, confirming your right to market the volume.
  • Third-Party Inspection Account – an active account with SGS or Intertek is mandatory for all transactions.

Compliance & Platform Integrity

Petrolodex operates exclusively with verified producers, refineries, NOCs, and duly authorized mandates. This policy upholds market integrity, protects all parties, and ensures that transactions are executed with the highest standards of due diligence.

Submissions that do not meet the above requirements will not be processed. Repeated non compliant listings may result in restricted access to opportunities on the Petrolodex platform.

Step 1

Seller Registration & Source Verification

Fill out the Seller Registration Form and provide confirmation from your product source, refinery, NOC, storage operator, or vessel. Along with required verification documents from your legal counsel that confirm your authority to sell at the volumes of the supply contract or Commercial Invoice (CI).

Transactions are executed in accordance with international banking standards using widely recognized trade finance instruments, including Letters of Credit (LC / DLC), Standby Letters of Credit (SBLC) issued via SWIFT MT760, and authenticated SWIFT payment messages such as MT103, MT199, and MT799, in full compliance with global AML, KYC, and trade finance regulations.

Offer Issuance & Buyer Matching

Publish your offer through the Petrolodex platform as either a Soft Corporate Offer (SCO) for indicative terms, or a Full Corporate Offer (FCO) with complete commercial conditions and including product specifications, INCOTERMS (CIF, FOB, TTO/TTT), pricing, validity period, and procedure.

Petrolodex matches your offer with verified end-buyers whose ICPO, Proof of Funds, banking instruments, and Logistic Verification have already been confirmed by our compliance team eliminating tire-kickers, broker chains, and unverified intermediaries.

The Result: You engage only with serious, bank-backed buyers. Once terms are accepted, the Sales and Purchase Agreement (SPA) is issued, open for amendment and negotiation through direct legal channels.

Secure Delivery & Payment Release

Once the SPA is signed and banking instruments are exchanged, SBLC via SWIFT MT760 from the buyer, and 2% Performance Bond from the seller's bank. The seller releases Partial Proof of Product (PPOP) including ATS, Product Quality Passport (Dip Test), and Letter of Commitment to Supply.

Upon delivery (in tank or on vessel), the buyer conducts SGS or Intertek inspection (Quality & Quantity Dip Test). Within 24–48 hours of successful inspection, payment is released to the Selling Party, through LC drawdown for CIF transactions, or MT103 wire transfer for FOB transactions, at the moment control of the fuel transfers to the buyer.

The Guarantee: Your transaction is protected end-to-end. Title transfer and payment occur simultaneously, in full alignment with international trade finance and oil industry standards.
